Summary
The Office feature allows you to segment your platform into different sections. This includes:
- Assign users to specific office
- While called "offices," these segments don't have to represent physical office locations. You can use them to represent teams, regions, workstreams, or risk levels.
Using offices to separate legal entities
If your organisation is splitting into two or more legal entities, you can use offices to record which entity each client belongs to. You don't need a new contract or a separate account.
Offices segment the platform into separate sections. Despite the name, they don't have to be physical locations. They work just as well for teams, workstreams or legal entities.

Your contract and billing
- You can stay on your current agreement. Splitting into separate entities doesn't require a contract change.
- We'll keep billing you as we do now. If you want to divide the cost between your entities, it's simplest to handle that internally.
How offices identify each entity
- We set up one office for each entity.
- Each case sits against an office, so it's always clear which entity a client belongs to.
- Existing cases can be assigned to an office retrospectively.
Controlling who can see each entity's cases
You can restrict visibility by office. Users with office-based roles only see cases, alerts and activity within the offices they're assigned to. For more information, see Understanding types of user roles.
If you only need to identify which entity a client belongs to, and don't need to keep each entity's data separate, you can leave every user with access to all offices.

Each office can have its own:
- Screening profile
- Automated reminders
- Email templates
- AI screening agent settings for case screening
- Data Deletion
Some settings apply across your whole organisation and can't be set per office:
- Adverse media screening
- The AI screening agent for Ongoing Monitoring
- Advanced AI Screening
Setting up your offices
On managed services, we'll set up the offices for you, so there's nothing for your team to configure. Let your First AML contact know when your split is expected, and we'll plan the set-up with you ahead of that date.
